Position summary: Writing and research assistance for fundraising and marketing/communications, ensuring targeted and consistent messaging. Manage administrative processes related to fundraising activities, grant system, governance, and marketing/communications.
Primary duties and responsibilities:
Development writing, marketing/communications, and governance assignments. Responsibilities include writing, research/fact-checking, and refining/proofing.
Target current and potential donors, program applicants, and society partners.
Develop communications that advance OMeGA’s mission.
Draft and submit donor applications, providing all information and materials requested. Create/maintain tracking system for all donor applications, grants and reconciliation, sharing usernames and passwords with OMeGA staff.
Create presentations for Board and Review Committee members.
Assist with website updates.
Grant management assistance
Assist with grant applicant notifications and assign/approve follow ups, as requested. Respond to inquiries, routing to others as appropriate.
Review Letters of Inquiry and process application fees during open grant application periods.
Generate graphs/figures and lists from online grant management system data to be used on OMeGA’s website, donor reports, flyers, and subspecialty society communications.
Export historical data from online grant management system to Excel and archive.
Governance and communication assignments
Manage administrative issues related to the Board and Review Committee including drafting meeting minutes polling attendees for meetings, and updating contacts.
Track, and regularly update partners’ annual meetings and communication timeline on Outlook calendar and Excel spreadsheet. Annually update and maintain partners’ contact information.
Compile OMeGA communications (ribbons, flyers, slides, etc.) to be used at subspecialty annual meetings.
Coordinate annual joint letter with partners; distribute customized versions to multiple target audiences including current and prospective donors.
Write/update SOPs for managed processes.
Establish and maintain electronic and paper files so documents can be logically accessed by OMeGA staff.
Knowledge, skills and abilities:
Education: Undergraduate degree preferred; minimum Associates Degree required. Ideal position for a recent graduate.
Experience: 1-2 recent years in an office environment, including experience communicating with external parties and supporting more than one person. Association experience preferred. Experience working with busy professionals a plus.
Exceptional written communication skills. (Persuasive and expository writing samples will be required at the interview stage.)
Excellent grammar and proofing ability.
Proficiency in Microsoft Office Suite applications, with practical experience in Excel (formulas) and PowerPoint.
Ability to extend learning from one situation to another, and connect the dots between seemingly disparate responsibilities.
Superior researching capabilities.
Strong organizational skills: ability to prioritize and coordinate a high volume of projects and details simultaneously.
Good verbal communicator who can build relationships with volunteer leadership, staff and vendors.
Technically savvy and able to quickly master the grant management system database.

Established in 2008, OMeGA advances professional practice and enhances patient care by ensuring continued financial support of orthopaedic residency and fellowship programs. Systems and processes have been designed to prevent conflicts of interest between industry and educational institutions.
